Repository (Self-Archiving) Policy

Introduction

The International Journal of Data Science (IJoDS) supports responsible sharing and long-term access to research outputs. This policy explains how authors may deposit their manuscripts and published articles in repositories and on websites, using standard version terminology.

Article versions (terms used in this policy)

IJoDS uses the following version labels. Authors should use these exact terms in repository records and file descriptions.

  1. Submitted version (Preprint): the version submitted before peer review.

  2. Accepted version (AAM/Postprint): the final author-created version that incorporates peer-review changes and is accepted for publication.

  3. Published version (Version of Record, VoR): the final published, formatted version made available by the journal.

Deposit locations

Authors may deposit permitted versions in any repository or website of their choice, including (but not limited to):

  • Institutional repositories

  • Disciplinary repositories

  • National or regional repositories

  • General repositories

  • Author personal websites and pages

  • Academic and scholarly networking platforms

Timing (no embargo)

IJoDS permits deposit without embargo, as follows:

  • Submitted version (Preprint): may be deposited at any time, including before submission to IJoDS.

  • Accepted version (AAM/Postprint): may be deposited immediately upon acceptance.

  • Published version (Version of Record, VoR): may be deposited immediately upon publication.

Licensing

To match the journal’s open access licensing, IJoDS requires that any deposited version that is shared publicly should be made available under the same license used by the journal for published articles: CC BY-SA 4.0.

If a repository requires a license selection, authors should choose Creative Commons Attribution-ShareAlike 4.0 International (CC BY-SA 4.0) or an equivalent field that clearly indicates CC BY-SA 4.0.

Required repository statements and linking

To protect the integrity of the scholarly record, all deposits must include:

  1. Full citation details, including journal title (IJoDS), article title, author(s), year, volume, issue, and page range (if available).

  2. A link to the Version of Record on the IJoDS website. If a DOI is available, authors should include the DOI link.

Additional requirement for preprints

If a submitted version (preprint) is deposited before or during submission:

  • Authors must disclose the preprint at submission by providing the preprint link.

  • If the manuscript is published in IJoDS, authors must update the preprint record to include a citation and a link to the Version of Record (and DOI if available).

File naming and version clarity

To reduce confusion for readers, authors should:

  • Label files clearly with the version term: “Submitted version (Preprint)”, “Accepted version (AAM/Postprint)”, or “Published version (Version of Record, VoR)”.

  • Avoid replacing earlier versions in a way that removes the public record. When updates are needed, authors should add a new version and retain the link to the Version of Record.

Corrections and retractions

If an article is corrected or retracted, authors should update repository records to reflect the current status and should link to the journal notice (correction, expression of concern, or retraction) as applicable.
